Western Sydney University has a duty of care to ensure the health, safety and wellbeing of workers, students and visitors who attend events organised by the University, either on or off-campus. An event is considered any gathering of workers, students or visitors at a function such as open days, marketing functions, and school visits.
Event planning
Event organisers should use a systematic planning process to identify potential hazards, assess risks, and to determine ways of eliminating or minimising their impact. When planning an event the following should be considered and documented in a risk assessment:
- Access and egress
- Traffic flow
- Security needs and preventing unauthorised access
- Contractor management requirements
- Weather conditions and the outdoor environment including working in the sun, potential for rain, etc
- Amenities and the location of utilities and site services
- Emergency procedures, including incident reporting, first aid and fire prevention
- Manual handling
- Lighting and noise
- Food handling
- Fatigue management
- Signage
- Maintenance requirements
- Training and induction for workers, volunteers, contractors or other persons
- Electrical equipment
- Permits, licensing and registration requirements such as liquor licenses, licenses to operate mobile plant, etc
- Staging and platforms
- Working at heights requirements including the use of ladders
- Amusement and inflatable structures
- Hazardous materials such as chemicals and gases
- Use of vehicles
