Creating Hyperlinks to shapes in PowerPoint

You can use shapes like buttons to Hyperlink to other slides, documents or Websites etc. by using either a shape or an action button. This will work in PowerPoint 2010 and 2007.

Shapes

To insert a Shape

  • From the Insert tab, in the Illustrations group, choose Shapes
  • Click the shape you want (to select it) go to the slide and Click, Hold & Drag to create the shape.

To insert a Hyperlink

Note: there are two ways of using a Hyperlink on a shape.
After creating the shape, make sure the shape is selected.

  • From the Insert tab, in the Links group, choose Hyperlink (or Right mouse click the shape and choose Hyperlink) The Insert Hyperlink dialog box opens and the Text to display box is greyed out
  • Choose your hyperlink type/destination and click OK

    Note: this hyperlink is for the whole shape. If you want to add text, add it to the shape.

  • After creating the shape, make sure the shape is selected
  • Right mouse click the shape and choose Edit text and add text to the shape e.g. UWS
  • Select the text
  • From the Insert tab, in the Links group, choose Hyperlink (or Right mouse click the shape and choose Hyperlink) The Insert Hyperlink dialog box opens and  notice the Text to display box has the text content
  • Choose your hyperlink type/destination and click OK. 

Note: this hyperlink is for the only on the text. This is important when you run the presentation and click the link.

Action Buttons

To insert an Action Button

  • From the Insert tab, in the Illustrations group, choose Shapes
  • Under Action Buttons, click the shape you want (to select it) go to the slide and Click, Hold & Drag to create the button
  • At this stage the Action Settings dialog box appears.

To insert a Hyperlink

Note: there are two ways of using a Hyperlink on an Action Button, with a mouse click or passing the mouse over the shape.

  • Under Action on Click (or Action on Mouse Over) choose Hyperlink to:
  • From the box, open the list and choose your destination
  • Including another slide (insert number) a website (URL) 
    Another PowerPoint presentation or another File.
